HomeMy WebLinkAbout2015-10-27 - AGENDA REPORTS - LMD CONTR 12-00415-A (2)Agenda Item: 15 CITY OF SANTA CLARITA Q) AGENDA REPORT CONSENT CALENDAR i, CITY MANAGER APPROVAL: 1 j=� DATE: October 27, 2015 SUBJECT: EXECUTE RENEWAL OPTION FOR LANDSCAPE MAINTENANCE DISTRICT (LMD) CONTRACT 12-00415-A TO PROVIDE LANDSCAPE MAINTENANCE SERVICES FOR ZONES T-33, T-65, AND T -65A DEPARTMENT: Administrative Services PRESENTER: Dennis Luppens RECOMMENDED ACTION City Council: Approve second renewal option for landscape services under contract 12-00415-A to Stay Green, Inc. for landscape maintenance services encompassing Landscape Maintenance District (LMD) Zones T-33, T-65, and T -65A in the amount of $188,868; include a Consumer Price Index (CPI) request of. 1%, equaling $188; and authorize a contingency amount of $37,800 for atotal annual amount not to exceed $226,856. 2. Authorize the City Manager or designee to execute all contracts and associated documents, contingent upon the appropriation of funds by the City Council in the annual budget for such Fiscal Year, and execute all documents subject to City Attorney approval. 3. Authorize the City Manager or designee to execute up to one (1) annual renewal option not to exceed the annual bid amounts, plus CPI adjustments. BACKGROUND In 2012, landscape maintenance services were competitively bid and awarded to Stay Green, Inc. by action of the City Council to provide landscape maintenance services to the following three LMD zones: Zone T-33 (Canyon Park), T-65 (Fair Oaks Ranch - Phase 1), and T -65A (Fair Oaks Ranch - Phase II and III). The term of the base contract was for two (2) years, plus three (3), one-year renewal options. As this contract is nearing the completion of its first renewal option year, staff is requesting City Council approval to execute the second one-year renewal option. Page 1 Packet Pg. 172 Stay Green, Inc. continues to perform in a manner that meets the City of Santa Clarita's performance standards, as well as the established terms and specifications of their contracts. A review of actual expenditures over the past two years supports maintaining the contingency amount at its current level of $37,800. Based on recent bid results for other LMD maintenance contracts, the pricing associated with the renewal of this contract remains competitive within this service sector. Therefore, staff recommends the City Council exercise the second renewal option for this contract for an amount not to exceed $226,856. ALTERNATIVE ACTIONS 1. Direct staff to re -bid the contracts. 2. Other action as determined by the City Council. FISCAL IMPACT There is no impact to the General Fund. Sufficient LMD funds were appropriated by the City Council as part of the Fiscal Year 2015-16 budget in the following accounts: Zone T-33 - 12557-5161.010, 12557-5141.001 Zone T-65 - 12554-5161.010, 12554-5141.001 Zone T -65A - 12555-5161.010, 12555-5141.001 Page 2 Packet Pg. 173
