SUBJECT: EXECUTE RENEWAL OPTION FOR LANDSCAPE MAINTENANCE
DISTRICT (LMD) CONTRACT 14-00195 TO PROVIDE
LANDSCAPE MAINTENANCE SERVICES FOR ZONES 4, 8, AND
26

RECOMMENDED ACTION
City Council:
1. Approve renewal option under contract 14-00195 to Stay Green, Inc. for landscape
maintenance services encompassing Landscape Maintenance District (LMD) Zones 4, 8, and
26 in the amount of $41,280; plus a contingency amount of $8,500, and; a Consumer Price
Index (CPI) adjustment of 0.1%, equaling $41; for an annual amount not to exceed $49,821.
2. Authorize the City Manager or designee to execute all contracts and associated documents,
contingent upon the appropriation of funds by the City Council in the annual budget for such
Fiscal Year, and execute all documents subject to City Attorney approval.
3. Authorize the City Manager or designee to execute up to two (2) additional one-year renewal
options not to exceed the annual bid amount, plus contingency in the amount of $8,500, and
future CPI adjustments upon request of the vendor.
BACKGROUND
In 2014, landscape maintenance services were competitively bid and awarded to Stay Green, Inc.
by action of the City Council to provide landscape maintenance services to the following three
LMD Zones: Zone 4 (Via Princessa/Sierra Highway), Zone 8 (Friendly/Sierra), and Zone 26
(Centre Pointe Commercial). The term of the base contract was for two (2) years, plus three (3)
one-year incremental renewal options. As this contract is nearing the completion of its two-year
base term, staff is requesting City Council approval to exercise the renewal option provision.

Stay Green, Inc. continues to perform in a manner that meets the City of Santa Clarita's high
performance standards, as well as the established terms and specifications of their contracts. A
review of actual expenditures over the past two years supports maintaining the contingency
amount at its current level of $8,500.
Based on recent bid results for other LMD maintenance contracts, the pricing associated with the
renewal of this contract remains competitive within this service sector. Therefore, staff
recommends the City Council authorize the renewal provision for this contract in the amount of
$49,821 inclusive of contingency, plus future CPI adjustments upon request of the vendor.
ALTERNATIVE ACTIONS
1. Direct staff to re -bid the contract.
2. Other action as determined by the City Council.
FISCAL IMPACT
There is no impact to the General Fund. Sufficient LMD funds are available in the following
accounts:
Zone 4 - 12526-5161.010, 12526-5141.001
Zone 8 - 12530-5161.010, 12530-5141.001
