SUBJECT: SOUND, STAGE, TRUSSING, LIGHTING, AND POWER
CONTRACT FOR CONCERTS IN THE PARK FISCAL YEAR 2021-
22

RECOMMENDED ACTION
City Council:
Award a contract to SOS Entertainment for sound, stage, trussing, lighting, and power for an
initial term of one year, with the option for two additional renewals in an amount not to
exceed $72,000 annually.
2. Authorize the City Manager, or designee, to modify the award in the event issues of
impossibility of the performance arise, subject to the City Attorney approval.
3. Authorize the City Manager, or designee, to execute all documents, subject to City Attorney
approval, and execute two renewals at an annual cost not to exceed $72,000 plus the cost of
any Consumer Price Index (CPI) increases.
BACKGROUND
The City of Santa Clarita (City) entertains thousands of residents and visitors each year at the
annual Concerts in the Park series (Series) held at Central Park. Beginning on July 3, the Series
will run for eight consecutive weeks culminating on August 21, 2021.
The City's Purchasing Division, in cooperation with the Arts and Events Division, issued an
Invitation for Bid for Sound, Stage, Trussing, Lighting, and Power for Concerts in the Park. The
bid was publicly advertised on Planet Bids on April 3, 2020. Purchasing opened the bid on
May 5, 2020, with the results below. A contract was not signed in 2020 due to the pandemic and
the cancellation of the Concerts in the Park series last year.

The evaluation of the bids was for the lowest bidder. Staff recommends that the City Council
award the contract to SOS Entertainment for Sound, Stage, Trussing, Lighting, and Power for the
2021 Concerts in the Park series, with two optional annual renewals for Fiscal Years 2022-23
and 2023-24.
ALTERNATIVE ACTION
Other action as determined by the City Council.
FISCAL IMPACT
The funds for this expenditure have been requested in the Concerts in the Park operating account
15407-5121.003, as part of the Fiscal Year 2021-22 budget and are contingent upon
appropriation of the funds by the City Council. Funds for future years are contingent upon
appropriation of funds by the City Council during the annual budget process.
