SUBSEQUENT NEED ITEM
CONSENT CALENDAR
DATE: May 22, 1990
SUBJECT: Purchase of Fleet Vehicles
DEPARTMENT: Finance
BACKGROUND
City Manager Approval
Item to be presented by:
Andrea Daroca
The City of Santa Clarita, in need of five (5) light duty 1/2 -ton pickup trucks,
advertised and requested sealed bids from potential suppliers with a bid opening
of May 16, 1990, at 11:00 a.m. for bid #GS -89-90-10. One sealed bid was
received from Scott Irvin, the local Chevrolet dealer, for $61,130.55 (includes
sales tax). Magic Ford, the local Ford dealer, called to offer a no bid because
they refused to pay a fee for the specifications. Three (3) other vehicle
dealers outside the Santa Clarita Valley paid for and were sent bids but also
did not respond.
Included in this year's 1989-90 budget were five (5) light 1/2 -ton pickup
vehicles to be purchased for the City: four (4) for the Parks & Recreation
Department and one (1) for the General Services Division. The General Services
Manager intended to purchase all five vehicles together in order to receive a
price discount and delivery sometime near July 1, 1990. However, the Parks
Superintendent, contacted General Services to inform them that he expected
additional personnel to start the week of June 18, 1990, because he had been
informed by the County of Los Angeles of their intention to transfer their staff
out of the City of Santa Clarita that week.
As a result of timing, purchasing missed the deadline to submit this Agenda item
for inclusion in tonight's packet. The next City Council meeting is scheduled
for June 12, but the vendor needs two to three weeks' time for delivery.
Therefore, the new staff would be without needed vehicles for about two weeks.
RECOMMENDATION
That staff be directed to purchase the needed pickup trucks from Scott Irvin, a
local vendor, due to the fact that the Parks & Recreation staff will not be able
to provide the public with the necessary services without these vehicles.
