CONSENT CALENDAR DATE: June 26, 1990 SUBJECT: Purchase of Four Mid -Size Copiers DEPARTMENT: Finance/General Services /0"✓ BACKGROUND Andrea Daroca The City of Santa Clarita budgeted $65,000 for four (4) mid-size copiers in the 1989-90 budget in account #01-4605-402. Staff advertised and requested sealed bids from potential suppliers with a bid opening of April 26, 1990, at 11:00 a.m. for Bid #GS -89-90-06. Seven bids were received from the following vendors: Minolta Business Systems $40,325.88 Canon/Astro Office Products NP4835S $40,582.00 Pitney Bowes $41,144.98 Canon/Astro Office Products NP4835I $46,185.17 Xerox Corporation $49,724.15 MWB Copy Products $51,410.80 Data Team of Lancaster $66,403.84 Staff reviewed the bid responses and found that only Canon/Astro Office Products NP4835I copier machine could meet all of the needed features of the desired machine. As a result, Canon/Astro Office Products provided a demonstration copier, machine which was used by staff. The automatic sorter and stapler feature were found to be indispensable in carrying out photo copy work tasks. Both Pitney Bowes and Minolta Business Systems could not provide this feature along with other features identified in the bid specifications. RECOMMENDATION It is recommended that staff be directed to purchase from account 1101-4605-402 the much needed mid-size copiers from Canon/Astro Office Products the most qualified bidder which meets all of the City requirements identified in bid GIGS -89-90-06.
