SUBJECT: COMPUTER HARDWARE MAINTENANCE AGREEMENT
DEPARTMENT: Administrative Services
BACKGROUND
Each year, Information Resources budgets for maintenance of the City's computers. The
maintenance provides preventative services as well as repairs. Vendor responsiveness to calls
and overall customer satisfaction are critical criteria to maintain the City's systems.
In June 1996, a formal Request for Proposals (RFP) was sent to 22 computer maintenance
vendors including several local vendors. Only three proposals were received. Each proposal
was scored on responsiveness to the RFP's requirements, customer references, vendor
financial stability, technical expertise and cost:

Neocomp received the highest score and has provided excellent service to the City for the past
two years. The equipment to be included in the maintenance agreement with the vendor is
all personal computer and local area network hardware. This contract will be in effect
through June 30, 1997 with an option to renew.
RECOMMENDATION
Direct staff to issue a contract for services with NeoComp for an amount not to exceed
$30,000, which will cover maintenance of personal computers and network (LAN) hardware
and authorize the City Manager to execute the contract. Funds have been included in FY'96-
'97 budget in account 01-4620-227.
