City Council accept the work performed by Hamilton Construction on the first floor remodel of City Hall, GS -96-97.13. Direct the City Clerk to file the attached Notice of Completion. Direct staff to release the 10% retention 35 days after the Notice of Completion is recorded, provided no stop notices, as provided by law, have been filed. 2. City Council approve increase to design contract for RTK Associates in the amount of $19,607 which includes design changes and plan printing costs for a new total of $59,607. Funds have been budgeted in Account Number 2410-8640, Project Number 1100-8640. 3. City Council approve increase to construction contract for Hamilton Construction in the amount of $68,000 including telephone and data lines and unanticipated code required upgrades for a new total of $415,000. Funds have been budgeted in Account Number 2410- 8640, Project Number 1100-8640. BACKGROUND During the December 10, 1996 Council meeting, the City Council appropriated $750,000 to remodel approximately 8,100 square feet of new office spaces on the first floor of the City Hall building. On January 28, 1997, the City Council awarded a design contract to RTK and Associates and on June 10, 1997, awarded a contract to Hamilton Construction for the construction portion of the project. Hamilton Construction has completed their work as agreed, and City staff has completed all other work required. The $750,000 budget was allocated to cover design ($52,000), construction ($355,000), furniture ($185,000), equipment ($150,000) and other miscellaneous expenses ($8,000). Although the original budget allocations for design and construction underestimated the scope involved, Appno5iffl agenda Items-3 NOTICE OF COMPLETION FIRST FLOOR CITY HALL REMODEL PROJECT November 4, 1997 - Page 2 judicious use of cost control measures resulted in project completion approximately $7,000 under budget. Construction was completed, and the staff moved into the new spaces on schedule. Completion of the project has resulted in very attractive and functional office spaces. The reception area in the main hall provides a natural focus for meeting and directing the public, and a new conference room provides seating for 65. City services involving the most public contact are now conveniently located on the first floor. ALTERNATIVE ACTIONS Other direction as determined by the City Council. FISCAL IMPACT Funds for this expenditure in the amount of $750,000 have been budgeted in Account No. 2410-8640, Project No. 1000-8640. The City of Santa Clarita, a municipal corporation, is the owner of a certain office building known as City Hall Building, 23920 Valencia Boulevard, Santa Clarita, CA 91355-2196, within which a certain public improvement known as: First Floor Remodel, Project GS -96- 97-13. 2. The City's address is: 23920 Valencia Boulevard, Suite 300, Santa Clarita, CA -91355-2196. S. The specific location of said public improvement is: City Hall Building, 23920 Valencia Boulevard, Suites 110, 130, 140, and 150, Santa Clarita, CA 91355-2196. 4. On June 10, 1997, a contract to construct said public improvement was awarded to Hamilton Construction Company, General Contractor, 18740 Ventura Blvd., Suite 211, Tarzana, CA 91356. 5. Work under said contract was completed on October 3, 1997, to the satisfaction of the Director of Administrative Services, and was accepted by the City on November 4, 1997.
