BACKGROUND During the mid -year budget process in December 1997, Council approved the purchase of Pentium computers to replace the computers used by City staff. This transition is now complete leaving 122 computers in surplus and available for sale or donation. These computers do not include a monitor, keyboard, mouse or software but do include memory, hard drives, floppy disk drives and a 486 based central processing unit. This agenda item is submitted to Council for consideration in donating these computers to non-profit organizations throughout the City of Santa Clarita. The proposed program below identifies a process that would allow these computers to be randomly dispersed to qualified entities interested in receiving one or more computers. City of Santa Clarita Computer Surplus Donation Program 1998 Program Outline The City of Santa Clarita has one hundred twenty-two computers that in surplus available for donation to qualified applicants. These computers utilize a 486 based central processing unit, a floppy drive, memory and other internal components, but do not include a keyboard, mouse, monitor, software or CD-ROM drive. In order to be considered a qualified applicant, you must be a 501(c)(3) organization. Examples of prospective applicants include, but are not limited to non-profit organizations such as schools, PTA's, Girl Scouts, Boy Scouts, etc.. 2. The program is intended to directly benefit qualified applicants residing within the City of Santa Clarita. A PPR t ED ^ , R COMPUTER SURPLUS DONATION PROGRAM June 9, 1998 - Page 2 3. The donation program is limited to the number of computers currently available in surplus. 4. The maximum number of computers given to any qualified applicant will be determined by the number of applicants and computers available. 5. The donation program will be done via a random selection process. Qualified applicants will be given a number upon filing, and a duplicate number will be kept by the City of Santa Clarita. A drawing will be held, and those agencies selected will be notified. 6. All computers must be picked up within 14 days of notification, or the computers will be given to the next in line. ALTERNATIVE ACTIONS Other action as determined by Council. FISCAL IMPACT These computers have a surplus value of roughly $25 each, or $3,050 for all 122 count lot size. ATTACHMENTS None
