HomeMy WebLinkAbout1998-02-24 - AGENDA REPORTS - OFFICE 97 (2)AGENDA REPORT CONSENT CALENDAR DATE: February 24, 1998 City Manager Item to be pre Steve Stark SUBJECT: PROVIDE OFFICE 97 TRAINING TO CITY STAFF DEPARTMENT: Administrative Services RECOMMENDED ACTION Award the contract for Microsoft Office 97 training to Wales P.C. Services & Computer Focus for $40,704.00. The funds for this work are included in the FY 97/98 budget account number 2310-8110. Authorize the City Manager to approve all contract documents and change orders, subject to City Attorney approval. BACKGROUND The City of Santa Clarita strives to stay current with the latest technology and to maximize effectiveness. One of the more effective ways to achieve this goal is to standardize computer software programs and fully train staff on the use of these new tools. Microsoft Office 97 was selected as .that standard and will be installed on the City's system. This will provide consistency for all City staff allowing documents to be easily shared and distributed. Additionally, Office 97 provides many new features that will enhance staffs ability to produce high quality, graphic rich reports. Staff efficiencies are also expected since the computer programs used will be similar citywide which minimizes the need to translate documents from one format to another. To better ensure maximum effectiveness of the new Office 97 software being implemented, it was determined that a professional company be hired to provide comprehensive training. Staff went out to bid by placing Request for Proposal (RFP) advertisements in the Daily News and Signal three times in the month of January 1998. In addition, the RFP was faxed to 12 vendors on file. WoodlaridHills _-..; $35;200.00___ Wales PC Services & Computer Focus Santa Clarita $40,704.00 ChP" Kate Wolman Computer Training Northridge $68,400.00 App ° n V E 0 Acrena ern: 0 Page 2 A careful analysis of the responses was made using stringent criteria and a rating system which evaluated things such as responsiveness to the RFP; understanding of the project and the objectives; experience and history of the firm; methodology and management approach; qualifications and experience of principles .and staff; availability and quality of personnel; financial stability; and price. After a thorough review of the four proposals, a local company, Wales P.C. Services & Computer Focus, was selected as the most qualified and responsive vendor based on the criteria for Office 97 Training. ALTERNATIVE ACTIONS Other direction as determined by the City Council. FISCAL IMPACT Funds for this expenditure in the amount of $40,704.00 have been budgeted in the FY 97/98 - budget account #2310-8110. SS:JJ:FT:ss
