SUBJECT: AWARD CONTRACT FOR PURCHASE OF THIRTEEN LIGHT
DUTY VEHICLES
DEPARTMENT: Administrative Services
RECOMMENDED ACTION
City Council award contract to Magic Ford for thirteen vehicles in an amount not to
exceed $290,069.85 from Account Nos. 1700-8615, 3820-8615, 5501-8615, 5502-8615,
5600-8615 and 7411-8615.
BACKGROUND
The City Council approved the purchase of thirteen light duty trucks in the FY 2001/2002
budget. The Invitation to Bid was published three times from August 2 to August 9, 2001.
Notifications were sent to the Chamber of Commerce, VIA and 44 suppliers on file. The
Invitation to Bid was hand delivered to three local dealers as well as distributed to 16
dealers who requested an opportunity to bid. Additionally, five dealers downloaded the bid
package from the City's website. The bids noted below have been adjusted to delete a
fourteenth vehicle that is not being recommended for replacement. Ten suppliers submitted
bids opened by the City Clerk on September 10, 2001, and the results of the bids are shown
below:

Staff has reviewed the bid packages and found the bids of Crown Dodge and Del Amo Dodge
to be not responsive due to missing addenda or being partial bids. Staff also found the bids

of Chevrolet of El Monte, Victor Buick/GMC, Fairway Ford, Parkway GMC and Raceway
Ford to be not responsive due to missing one or more addenda. Staff finds that with the
application of the 1% local preference, Magic Ford is the successful low bidder.
ALTERNATIVE ACTION
Other action as determined by the City Council.
FISCAL IMPACT
Funds in the amount of $302,000 were budgeted for this expenditure in account numbers
1700-8615, 3820-8615, 5501-8615, 5502-8615, 5600-8615 and 7411-8615 of FY 01/02.
