HomeMy WebLinkAbout2001-12-11 - AGENDA REPORTS - TEEN CENTER FURNISHINGS CONTR (2)CITY OF SANTA CLARITA AGENDA REPORT CONSENT CALENDAR DATE: December 11, 2001 City Manager Approval: Item to be presented by: Frank Oviedo SUBJECT: AWARD CONTRACT FOR PURCHASE OF FURNISHINGS FOR THE TEEN CENTER DEPARTMENT: Administrative Services RECOMMENDED ACTION 1) Award a contract to Montanio Design for selected items in an amount not to exceed $101,728.46 from Account No. 7211-8601. 2) Award a contract to Tangram Interiors for selected items in an amount not to exceed $44,042.56 from Account No. 7211-8601. 3) Award a contract to Bernards Office Furniture for selected items in an amount not to exceed $35,576.36 from Account No. 7211-8601. 4) Award a contract to BKM for selected items in an amount not to exceed $17,803.62 from Account No. 7211-8601. BACKGROUND The City Council approved the purchase of furnishings for the new Teen Center in the FY 2001/2002 budget. A designer was retained to provide assistance in the selection of the best furnishings, color combinations, and to develop the bid specifications. The Invitation to Bid for the furnishings was published three times, from October 28 to November 4, 2001. Notifications were sent to the Chamber of Commerce, VIA, and 15 suppliers on file. The Invitation to Bid was distributed to 16 businesses who requested an opportunity to bid. Staff reviewed the partial bids for lowest cost, consistency of products, and contract administration to determine the most beneficial combinations resulting in four awards. Staff has determined the bids of Montanio Design, Tangram Interiors, Bernards Office Furniture, and BEM offer the best combination of pricing and coordination for selected items. Awarding of this bid in December is important to meet the March 2002 opening of the Teen Center. By awarding this bid in December, staff will have the necessary lead time for vendors to deliver and install the Teen Center's furnishings. Once the bids are awarded staff will secure delivery dates in order to keep the project time line on schedule. ALTERNATIVE ACTION Other action as determined by the City Council. FISCAL IMPACT Funds in the amount of $230,000 were budgeted for furnishings, as well as the computers and telephone system in Account No. 7211-8601 of FY 01/02. ATTACHMENT None. BB.jwb:hds mhud« 11.da
