Schedule and televise the City Council study sessions in the Council Chamber; or 2. Schedule and televise the City Council study sessions in the Century Conference Room at a cost of $225,000. Proceed with the transfer of funds from the Council Contingency Account number 2250-7401 in the amount of $225,000 to account number 1210-8110; or 3. Continue holding the City Council study session in the Century Conference Room without being televised. BACKGROUND The City began televising City Council meetings in the early 1990s using volunteers and one camera on a tripod which was located in the back of the Council Chambers. In the mid-1990s, the City spent over $200,000 to equip the Council Chambers with lights, cameras, a sound system and other equipment, enabling the City to televise live and taped meetings held in the Council Chambers. Currently, the City provides live televised broadcasts of all the City Council meetings, Planning Commission meetings and other meetings as needed that are held in the Council Chambers. ANOW Agenda Item I.I.L6 TELEVISING STUDY SESSIONS December 10, 2002 — Page 2 The Century Conference Room is presently used by the City Council to hold the study sessions. This conference room is equipped with four monitors, a projector and a projection screen. In order to telecast from the Century Room it would have to be enhanced with lights, cameras, and a sound system (similar to the Council Chambers) at a cost of $225,000. It is also important to note that the limits of the City's system would allow the taping of only one room at a time, either the Council Chambers or Century Room. The proposed options include scheduling the study sessions in the Council Chambers prior to Planning Commission meetings so that study sessions may be televised. (Study session must conclude by 7:00 p.m. to accommodate live Planning Commission televising.) Holding the study sessions in the Century Room as mentioned above, would require equipping the Century Room with lights, camera, a new sound system to allow telecasting. ALTERNATIVE ACTION Other action as determined by the City Council. FISCAL IMPACT There will only be a fiscal impact to recommended action "2," which would require the transfer of funds from the Council Contingency Account number 2250-7401 in the amount of $225,000 to account number 1210-8110.
