HomeMy WebLinkAbout2003-01-14 - AGENDA REPORTS - YOUTH SPORTS UNIFORMS (2)CITY OF SANTA CLARITA AGENDA REPORT CONSENT CALENDAR DATE: January 14, 2003 City Manager Approval: Item to be presented by: SUBJECT: YOUTH SPORTS UNIFORM BID AWARD DEPARTMENT: Administrative Services RECOMMENDED ACTION Boswell4Barbara Council award a contract to The Idea Factory for the purchase of youth sports uniforms for an amount not to exceed $66,315.03 from account number 7242-7313. BACKGROUND Each year, the City offers youth summer and winter basketball, soltball/t-ball, ana nag football leagues. These sport activities are an important recreational and social resource for local youth. As part of the program fee, the City provides team uniforms for each participant. In August of last year, a Notice Inviting Bids, PS -02-03-02, was issued and three responses received. City Council rejected all bids at the October 8, 2002 City Council meeting and directed staff to rebid. Bid PS -02-03-22 was prepared and the Invitation to Bid was published three times, from November 24 to December 1, 2002. Notifications were sent to the Chamber of Commerce, VIA, and 18 suppliers on file. The Invitation to Bid was distributed to four who requested an opportunity to bid and ten additional suppliers downloaded the bid package from the City's website. Five suppliers submitted responses opened by the City Clerk on December 18, 2002, and the results of the bids are shown below: Vendor Anaconda Sports Safety Touch & Javithon The Idea Factory All American Marketing All Star Embroidery Location Woodinville, WA Lake Katrine, NY Santa Clarita Santa Clarita Santa Clarita :. $5,280.00 (partial) $11,872.00 (partial) $66,315.03 $71,804.34 $82,603.95 The bids from Anaconda Sports and Safety Touch & Javithon did not propose pricing and supply for all of the requested sports uniforms. Staff finds the responses from Anaconda Sports and Safety Touch & Javithon to be non-responsive and the response from The Idea Factory to be the lowest responsive and responsible bid. / r Agenda Item I+'��3 YOUTH SPORTS UNIFORM BID AWARD January 14, 2003 — Page 2 ALTERNATIVE ACTION 1. Reject all bids and rebid. 2. Other action as determined by the City Council. FISCAL IMPACT This contract will span two fiscal years. Funds in the amount of $42,814.29 were budgeted and are available in account no. 7242-7313 for FY 2002/2003. The remaining funds will be requested through the FY 03/04 budget process.
