HomeMy WebLinkAbout2006-07-11 - AGENDA REPORTS - LMD CONTR RENEWAL (2)CONSENT CALENDAR DATE: 6YU 3UT4" DEPARTMENT: Agenda Item: -- CITY OF SANTA CLARITA AGENDA REPORT City Manager Approval: Item to be presented by: July 11, 2006 LANDSCAPE MAINTENANCE DISTRICTS FISCAL YEAR 2006-2007 RENEWAL OF LANDSCAPE CONTRACTS Administrative Services RECOMMENDED ACTION City Council authorize the continuation of all existing contracts for landscape maintenance of the LMDs as follows: 1. American Landscape, extend existing contract terms from August 6, 2006 until October 1, 2007. 2. TruGreen LandCare, extend existing contract terms from August 6, 2006 until October 1, 2007. 3. Wurzel Landscape, extend existing contract terms from August 6, 2006 until October 1, 2007. 4. Oak Springs Landscape, exercise third -year renewal option of existing contract from November 1, 2006 through November 1, 2007, 5. Stay Green, Inc., exercise third -year renewal option of existing contract from January 7, 2007 through January 1, 2008. City Council authorize City Manager, or designee, to execute any contract documents, change orders, or amendments arising out of extension to the above contracts, subject to City Attorney approval. BACKGROUND Currently, the City of Santa Clarita contracts with five landscape maintenance companies. The term of each contract is for two (2) years, plus the option to renew for three (3) additional years, one (1) option year at a time. In prior years, Council reviewed, approved, and awarded these five multi-year contracts to the identified landscaping companies as the need arose to service new LMD territories. Approving the recommended action will bring all expiration dates of the existing landscape maintenance contracts closer together. All contracts may go out to bid and be awarded within the same season of the year (October -December 2007), a time period that is operationally less intensive. By aligning the existing five landscape contracts in the same season for bids, staff believes efficiency will be created in the landscape bid document preparation and response evaluation process. This recommendation only extends the time of the existing contracts. All other existing provisions in the contracts will remain the same. FY 06-07 costs for landscaping services are identified within the Council approved FY 06-07 City Budget. ALTERNATIVE ACTIONS Other direction as determined by the City Council. FISCAL IMPACT Landscape Maintenance District expenses are funded through annual assessments. Funds for these expenditures have been included in the adopted 2006-2007 budget in Landscape District Account Nos. 2901-8001 through 2934-8029.
