HomeMy WebLinkAbout2007-02-13 - AGENDA REPORTS - AIR CONDITIONING MAINT CONTR (2)CONSENT CALENDAR DATE: SUBJECT: DEPARTMENT: Agenda Item: CITY OF SANTA CLARITA AGENDA REPORT City Manager Approval: t ✓ Item to be presented by: Byron Moline February 13, 2007 3 AWARD OF AIR CONDMONING MAINTENANCE CONTRACT Public Works RECOMMENDED ACTION City Council award a heating and air conditioning (HVAC) maintenance contract to Honeywell Inc. in the amount of $85,463.00, plus a 10 percent contingency of $8,537.00 for an overall price not to exceed $94,000.00 per year for an initial two-year period with options for 3 one-year renewals upon mutual consent. The funds have been budgeted in Fiscal Year 2006-2007 in Account Nos. 4801-8008, 4804-8008, and 4860-8008. 2. Authorize the City Manager or designee to execute all documents, subject to City Attorney approval. BACKGROUND The City's General Services Division maintains the City Hall building, the Corporate Yard facility, the Jo Anne Darcy Library, two Metrolink stations, and the Transit Maintenance Facility's administration and bus maintenance buildings. The air conditioned space in these buildings is heated and cooled using 86 pieces of heating and air conditioning equipment, which have a combined capital value of over $1,250,000.00. On December 8, 1992, the City of Santa Clarita entered into a 10 -year lease/purchase agreement with Honeywell Inc. to purchase energy controls that would reduce energy costs for air-conditioning equipment at various City facilities. This agreement included maintenance of all the air conditioning equipment at these locations. On April 29, 2003, HVAC service for the Jo Anne Darcy Library was added to the Honeywell contract, and the maintenance agreement was renewed for an additional two years. On July 19, 2005, the City extended the maintenance agreement with Honeywell on a month-to- month basis while the City went out to bid for an HVAC maintenance contractor. �PR�,vEo An invitation to bid, PW 06-07-18, was published three times on December 10, 13, and 17, 2006. On December 21, 2006, the City conducted a pre-bid job walk for potential bidders. The job walk was attended by three HVAC firms: Honeywell Inc. from La Palma, CA; JCT Mechanical Inc. from Lancaster, CA; and ACCO Engineered Systems from Glendale, CA. Each of these firms are licensed heating and air conditioning contractors. On January 11, 2007, the City received one bid for heating and air conditioning maintenance submitted by Honeywell Inc. in the amount of $85,463.00. Honeywell Inc. has been providing quality service to the City of Santa Clarita for 14 years, and staff is confident that the City will continue to receive quality service after the award of this contract. ALTERNATIVE ACTIONS Other action as determined by the City Council. FISCAL IMPACT Funds for the award of this contract were appropriated in the Fiscal Year 2006-2007 budget in Account Nos. 4801-8008, 4804-8008, and 4860-8008. ATTACHMENTS None
