HomeMy WebLinkAbout2008-06-10 - AGENDA REPORTS - LANDSCAPE MAINT CONTR (2)CONSENT CALENDAR DATE: SUBJECT: DEPARTMENT: Agenda Item: CITY OF SANTA CLARITA AGENDA REPORT City Manager Approval Item to be presented by: June 10, 2008 Jon Bischetsrieder no AWARD CONTRACT FOR LANDSCAPE MAINTENANCE FOR METROLINK SITES / CITY HALL / AUXILIARY LOT / CORPORATE YARD AND OTHER VARIOUS SITES Administrative Services RECOMMENDED ACTION City Council: Award a contract to Stay Green, Inc. for the landscape maintenance of the Metrolink Sites / City Hall /Auxiliary Lot / Corporate Yard and other various sites in the amount of $107,916.00, plus a 10 percent contingency of $10,791.60, for a total amount not to exceed $118.707.60. 2. Authorize the City Manager or designee to modify the award in the event other issues of impossibility of performance arise, execute up to two (2) annual renewal options not to exceed $118.707.60 each, plus Consumer Price Index (CPI) adjustments, contingent upon the appropriation of funds by the City Council in the annual budget for such Fiscal Year and execute all documents, subject to City Attorney approval. BACKGROUND Parks Recreation & Community Services is responsible for contracting landscape maintenance for various sites throughout the City. Due to multiple site additions such as the Veteran's Memorial and the new Community Center, added to the existing list of Metrolink Stations, City Hall, Wiley Wall, Jo Ann Darcy library and Calgrove landscape area, maintenance requirements have grown There are now a total of 15 sites that require contracted maintenance and with these additions, Staff re-examined the City's current contract and costs. City park staff also conducts daily safety inspections at some of the high visibility sites while a contractor is responsible for APPROWED the weekly landscape maintenance of all sites. A designated City employee monitors this contract and conducts monthly inspections. Additionally, the successful bidder will also be available to repair any vandalism and/or damage done to landscape planters, irrigation and such, which occur at these sites. Purchasing, prepared a bid solicitation for landscape maintenace with respect to Metrolink Sites / City Hall /Auxiliary Lot / Corporate Yard and other various sites. The notice was published twice, March 26 and March 30, 2008 and conducted in compliance with the Support of Santa Clarita Businesses program. The notice was sent to the Chamber of Commerce, the Valencia Industrial Association and sixteen vendors on file and the bid posted on the City's website. Thirty-three vendors downloaded a bid packet and four vendors submitted bid responses which were opened by Purchasing on April 29, 2008. The results of the bids are shown below: Vendor Location Bid Stay Green, Inc. Santa Clarita, CA $107,916.00 Tru Green Landscape Canoga Park, CA $126,000.00 Oakridge Landscape North Hills, CA $195,888.00 Martinez Landscape. Sylmar, CA $414,330.00 The vendor's bid was reviewed for accuracy and conformance to the contract documents and found to be complete. Staff finds Stay Green, Inc. to be the lowest responsive, responsible bidder. ALTERNATIVE ACTIONS Other action as determined by the City Council. FISCAL IMPACT Funds for this project will be available from Account 15204-5161.001 as part of the Fiscal Year 2008-09 budget adjustment process.
