HomeMy WebLinkAbout2008-10-28 - AGENDA REPORTS - RED ROCKET LA CONTR (2)CONSENT CALENDAR DATE: SUBJECT: DEPARTMENT: Agenda Item: O__,, CITY OF SANTA CLARITA AGENDA REPORT Gail Ortiz City Manager Approval: Item to be presented by: October 28, 2008 APPROVE GRAPHIC DESIGN SERVICES CONTRACT FOR RED ROCKET LA City Manager's Office RECOMMENDED ACTION City Council award contract to Red Rocket LA for graphic design services in amounts not to exceed $150,000 annually, authorize the City Manager or designee to execute the contract and associated documents, and execute up to three annual renewal options not to exceed the above annual amount plus Consumer Price Index (CPI) adjustments, contingent upon the appropriation of funds by the City Council in the annual budget for such Fiscal Year, subject to City Attorney approval. BACKGROUND City staff regularly uses outside graphic designers to complete the wide range of communication pieces required to inform the public. Graphic Services range from newsletter design, brochures, websites and signage, to rack cards, invitations and advertisements. The Request for Proposals was published three times, from July 27 to August 3, 2008, and was conducted in compliance with the support of Santa Clarita Businesses program. Notifications were sent to the Chamber of Commerce, Valley Industrial Association, and suppliers on file. Additionally, 137 firms downloaded the bid package from the City's website. Internal users evaluated all of the firms and selected a vendor who ranked the highest during this process. One was selected to provide a wide breath of skill levels and provide ample services to City staff. The City continues to evaluate its need and may in the future award additional graphic services contracts. ALTERNATIVE ACTIONS Other action as determined by the City Council. FISCAL IMPACT Fiscal Year 2008-09 funds for the expenditures have been budgeted by each department in various accounts.
