HomeMy WebLinkAbout2009-04-28 - AGENDA REPORTS - CONTR AMEND TREE TRIMMING (2)CONSENT CALENDAR DATE: SUBJECT: DEPARTMENT Agenda Item: 19 CITY OF SANTA CLARITA AGENDA REPORT City Manager Approval: Item to be presented by April 28, 2009 r yron Moline APPROVE CONTRACT AMENDMENT FOR TREE TRIMMING SERVICES Public Works RECOMMENDED ACTION City Council approve the amendment to renew Contract 06-00355 with United Pacific Services, Inc., in the amount of $550,000 for tree trimming services, and increase the contract amount by $50,000 for a total of $600,000. 2. Authorize the transfer of $50,000 from Account M0063601-5161.001 to Urban Forestry Account 14507-5161.001, Increase Transfer In Account 100-4711.601 by $50,000 and increase Transfer Out Account 60119500-5501.100 by $50,000. 3. Authorize the City Manager or designee to execute up `to two annual renewal options not to exceed $600,000 each, plus Consumer Price Index (CPI)'adjustments, contingent upon the appropriation of funds by the City Council in the annual budget for such fiscal year and execute all documents, subject to City Attorney approval. BACKGROUND During the Fiscal Year 2008-2009 Annual Concrete Rehabilitation project, the Urban Forestry Division incurred $50,000 in necessary tree trimming costs not anticipated within the existing Urban Forestry Division tree trimming contract due to sidewalk replacement. Trees growing adjacent to parkways frequently displace sidewalks. Before replacing a sidewalk, the adjacent tree roots are cut, and the tree is trimmed to keep it safe and upright. When unavoidable, some trees are removed. This request to increase the existing expenditure authority for the tree trimming contract from $550,000 to $600,000 will offset these costs. The new contract'amount of $600,000 will provide a contingency amount for unexpected costs during the Fiscal Year 2009-2010 contract term. 'PR VED Selected through a competitive bid process in January 2007, United Pacific Services, Inc., entered into a one-year contract with the City for tree maintenance services. The original contract allowed up to five additional one-year terms, renewed at the City's option, and if mutually agreed upon by both parties. United Pacific Services, Inc., has provided quality service to the City of Santa Clarita. Their staff is well qualified and knowledgeable of the City's tree maintenance standards. They have been responsive in meeting the City's needs on a day-to-day and emergency basis. Staff is confident the firm will continue to meet the City's expectations for tree maintenance services. ALTERNATIVE ACTIONS Other action as determined by the City Council. FISCAL IMPACT Funds for this expenditure in the amount of $550,000 have been budgeted in Account 14507-5161.001. The remaining $50,000 will be transferred from Account M0063601-5161.001. ATTACHMENTS None. Z,
